The First 30 Days Determine Everything

Research across industries shows that the first 30 days of membership are the strongest predictor of long-term retention. A new member who feels welcomed, informed, and connected in their first month is ten times more likely to still be a member a year later compared to someone who signs up and hears nothing. Yet most clubs treat onboarding as a one-time form submission and then wonder why 30% of new members do not renew.

Build a Welcome Sequence

Design a simple automated email sequence that goes out over the first four weeks. Day one: a welcome email with their membership confirmation, login credentials for the club portal, and a link to your most frequently asked questions. Week one: an introduction to your club structure, teams, and upcoming events. Week two: a personal invitation to a specific upcoming activity that matches their interests. Week four: a check-in asking how their experience has been so far and whether they need any help.

Assign a Buddy

Pair every new member with an existing, engaged member who acts as their informal guide. The buddy introduces them to other members at their first training session, answers questions that feel too small to ask the board, and generally makes them feel like they belong. This is the single most effective onboarding tactic and it costs absolutely nothing. Clubs that implement buddy systems see retention improvements of 20-40% in the first year.

Finally, make the administrative side painless. New members should be able to register online, submit their SEPA mandate digitally, and receive their membership card or badge automatically. The less friction in the sign-up process, the more positive the first impression. A club that sends a professional welcome package and has everything organized from day one signals competence and care, which are exactly the qualities that make people proud to be part of a community.
